The cost of an AI workflow depends less on the number of prompts than on the work around them: understanding the process, connecting approved systems, handling exceptions, testing results and teaching the team to maintain it.
These are Waymaker Agency's published offer prices checked October 20, 2026, not a market average or a quote for your project. The examples are illustrative scopes, not customer case studies. Final scope, schedule and price are agreed before work begins.
Project 1: decide what is worth building — $350 audit
A small service business receives inquiries through several channels and wants to know which handoff to improve first. The guided AI workflow audit is a 60-minute review of the current process, friction and candidate workflow. The useful output is a scoped next decision, including what needs to be checked before implementation.
Bring a process outline, approved sample inputs, the current tools and the person who owns the work. Agree which question the audit should answer. This is analysis and planning; it does not include a deployed integration. A separate 90-minute private AI Working Session is also $350 and is a different offer.
Project 2: make one task dependable — pilot from $1,500
Consider a workflow that turns an approved inquiry into a structured internal draft for review. The starting scope is one task, one owner and explicit acceptance criteria. Agree the required configuration or build, test cases and handoff before beginning.
A sensible pilot might preserve the original inquiry, draft a brief, flag missing information and leave the customer response for a person to approve. Test an ordinary inquiry, missing details, conflicting information and a failed connection. The output should make the reviewer's job clearer.
Additional systems, extensive data cleanup, customer-facing actions, broader permissions or a larger exception set can change the price. Software charges and external integration costs are additional unless the proposal explicitly includes them. “From $1,500” is a starting point, not a promise to automate an entire department.
Project 3: connect the wider handoff — system from $2,500
A business workflow system adds the coordination needed for a broader process: integrations, approval points, exception handling and team training. For example, a qualified inquiry might move through an internal review and into an agreed next-step queue, with an owner for stalled items.
Scope the systems, allowed actions, approval roles, failure behavior and maintenance responsibilities. Before launch, test duplicate inputs, access loss, interrupted runs and how a person resumes work. Record what the system changed so the team can investigate a problem.
The starting price does not establish how many integrations or hours your project will require. A proposal should identify what is included, what is excluded, recurring costs and the conditions that require a scope change.
Compare the deliverable, not just the price
| Engagement | Published price | Decision or outcome |
|---|---|---|
| Guided workflow audit | $350 | Choose and define the next workflow; implementation is separate. |
| One-workflow pilot | From $1,500 | Build and test one agreed task with an owner and handoff. |
| Business workflow system | From $2,500 | Scope connected work, approvals, exceptions and training. |
| Team AI working lab | $1,500–$3,500 | Guided team practice; preparation, team size and delivery shape the scope. |
Ask these questions before accepting a proposal
- What exact input starts the workflow, and what observable result finishes it?
- Which systems and permissions are included?
- Which decisions remain with a person?
- What are the normal, failure and duplicate-input test cases?
- Who pays ongoing software and usage costs?
- Who monitors failures, maintains the workflow and approves later changes?
- What happens if a dependency cannot support the required action?
Measure preparation, review and correction time alongside execution time. A faster draft that creates more checking may not improve the whole process. No revenue, headcount reduction or time-saving outcome is guaranteed by these example scopes.
Start with the workflow you can explain
Bring a short description of the process, your tools, one approved example and the problem you want to remove. Review the AI workflow implementation options or book a fit conversation. For team capability, explore custom training. Local teams can start with AI training and implementation in West Palm Beach and Palm Beach County.
